Your First Turnover With a Cleaner Schedule

How a host and a cleaner agree on one window, share one link, receive the response, review the work, and record the decision with the stay, with each boundary stated plainly.

Three facts that messages blur

A turnover with a cleaner rests on three facts: the cleaner has the right time, the cleaner agreed to that time, and the work is done. Those facts can become hard to find in a busy message thread. The cleaner schedule keeps each one as its own line with the stay, stamped with the time the service received it.

Six steps. Prepare the schedule. Share the link on purpose. Receive the response. Change the time when you must. Receive the work. Record your decision. Nothing on this page is a promise about the property. It is a record of who did what, and when the service received it.

Prepare: the fields you approve

Open the stay, then the cleaner handoff, and prepare the invitation. The form asks for exactly the fields the link will carry:

• Property label. The property's display name. Not a guest name, not an address, not an access code.
• Cleaner display name. A name for your own record. The field says it plainly: display name only, identity unverified.
• Property time zone. Chosen explicitly, even when it matches your device. A start time that does not exist because the clocks change is rejected. A time that occurs twice asks which occurrence you mean.
• Start and end. The end must follow the start.
• Instructions for this job. Starts blank. Your host notes are never copied in.
• Minimum received files before acceptance. Zero allows a submission without files. You can review files below the minimum; acceptance waits until it is met.

Below the form, a preview titled "What the link holder will see" shows the exact label, window, zone, instructions and file minimum, with the warning that anyone holding the link can read them. You confirm that preview before the link exists.

Share the link on purpose

After the schedule is saved to your workspace, the app shows "Link ready to share." Sharing happens in your own channel: a text, an email, a copied link. StayTurn does not send the link and does not know whether it arrived.

When you have sent it, you can mark it as shared by you and record the channel. That line records your action and the time the service received it. It never establishes delivery.

On a stay with a cleaner schedule, this job-backed history replaces the manual four-stage contributor progress. Stages you entered earlier stay visible as history. Stays without a schedule keep the manual stages.

Read the response for what it is

The cleaner opens the link on a phone. No account, no payment. The page shows the property label, the window in the property's time zone, the instructions you approved, and two controls: accept this time, or decline.

On your side the schedule reads "Accepted through the link" or "Declined through the link," with the time the service received it, and one sentence beside it:

This records the response of whoever holds the link. Their identity is unverified.

That sentence stays visible at phone width and travels with the export. If the cleaner confirmed by phone instead, you can record a host confirmation with its channel. It is labeled as entered by a host and kept separate. A later response through the link supersedes it, and both remain in history. A second answer for the same schedule cannot quietly replace the first.

When the time changes

Change the schedule and the app saves a new revision. The earlier answer becomes history for the old time. The cleaner's page shows the new time and asks again. An answer sent for the old time is refused and the current schedule is shown instead, so a stale acceptance never reads as current.

Two hosts changing the same revision cannot overwrite each other. One change lands. The other is asked to review the current schedule before trying again.

To hand the job to a different cleaner, choose "Share with someone else." The old link stops working, the new link carries the current schedule, and the earlier history stays with you. Anything the previous holder already downloaded stays with them. Cancel is final: the link stops accepting actions, and received files remain available for your review.

Receiving the work

Once the schedule is accepted, the cleaner's page accepts photos or PDF files: JPEG, PNG, WebP or PDF, up to 10 MiB each, up to 20 per schedule, and 32 MiB across the job including earlier uploads. Each file shows one of three words: Sending, Received, Not received. Sending is progress on the page; only Received confirms a service receipt. A file that was chosen but never finished sending is never called received. The page says so: keep it open until every file shows Received.

"Mark ready for review" is the cleaner's submission. It carries only the files the service actually received, and it can be sent with no files attached. Its receipt is separate from the file receipts. You see verified received counts, never an estimate.

Recording your decision

Each received file opens for review. Adding a reviewed file to the stay saves it to your record and synchronizes it with your workspace. That copy is a separate file from the cleaner's upload; both count toward your storage while both exist. Accept completion waits until every file in the submission is saved and synchronized. If either has not happened, acceptance waits and says so.

Your acceptance records which revision and which files you reviewed. The confirmation states the boundary in one line: this records your review, not the property's condition. If something needs attention, request more work with a note of up to 2000 characters. Earlier submissions and your earlier acceptance stay in the record.

Four distinctions worth keeping

• Link access is not verified identity. A response records whoever held the link. StayTurn does not verify who that was.
• An upload announcement is not a receipt. Only a file the service has fully received is called received.
• A submission is not acceptance. The cleaner marks the work ready. You decide whether to accept it.
• Acceptance is not a guarantee of property condition. It records your review of the files in front of you, nothing more.

Recoverability, stated plainly

An invitation's secrets are kept in dedicated server-encrypted storage so that authorized members of your workspace can reopen it from another device. The app states it where recovery is offered:

The exported record contains the readable schedule and history and never the invitation tokens or keys. Deleting a cleaner job immediately closes its invitation and removes the schedule, secrets and content history. Encrypted upload files are removed by background cleanup, which retries failures. They remain inaccessible through the deleted invitation while removal is pending. Copies already exported or downloaded elsewhere are separate. Job content and received files are kept for 90 days after the last activity unless deleted sooner.

Beside it, unchanged

Today, StayTurn keeps the cleaner handoff record with the stay: who contributed, what arrived, and the four stages you mark yourself. In a connected workspace, a stay-specific Photo Drop link lets a cleaner or co-host upload while you are away, and every upload waits for your review before it joins the record. Link-only cleaners need no account or payment.

The cleaner schedule adds the agreed window, the recorded response, the revision history, and your decision on top of that, in the web app with a connected workspace.
